A pack-out change can change the freight quote
A small change can be underestimated: the pack-out arrangement changes, but booking and freight assessment still use the old data. When the forwarder recalculates, it can look to the customer like an unexplained price change.
My shipping records repeatedly include checks on cartons, pallets and labels. They have made me pay more attention to the data revision before dispatch, alongside the question of whether goods are ready.
Identify what changed
Section titled “Identify what changed”Carton dimensions, units per carton, gross and net weight, pallet dimensions, stacking arrangement, pallet count and total cartons should come from the same pack-out revision. Mark planning figures as estimates; replace them with confirmed measurements when available.
An unchanged unit total does not establish that transport inputs are unchanged. The forwarder assesses the consequences under the actual shipping requirements. Sales should not assume that the arrangement is close enough.
Keep one data trail
Section titled “Keep one data trail”I make the pack-out record, logistics request and dispatch documents refer to the same version. After a change, I check at least:
- The internal carton and pallet record.
- Dimensions, weights and counts sent to the forwarder.
- Packing information and logistics updates sent to the customer.
I also check the connections between carton labels, batches, pallet identifiers and documents. Updating them independently does not establish agreement.
Explain the reason for reassessment
Section titled “Explain the reason for reassessment”A possible customer update is:
The pack-out arrangement has changed. We are checking transport requirements against the revised carton, weight and pallet data. Once confirmed, we will share the same version of the packing information and explain the changes from the original plan.
This does not promise a higher or lower cost. It makes the reason for reassessment clear.
Many logistics exchanges can be avoided by agreeing a reliable set of basic data early.
