An improved sample is not yet a golden sample
I have received feedback that a sample is much better than the previous revision while the same discussion still asks whether it uses production material, contains all required parts, has final artwork and is ready for a quality document.
The positive feedback is progress. It does not yet establish which samples and documents will govern production acceptance.
Give each approval a scope
Section titled “Give each approval a scope”Appearance approval does not automatically mean function testing has passed. Approval of one component does not automatically approve the complete assembly. I map each comment to the sample revision and evaluation item, keeping confirmed, untested and change-required items separate.
Payment, sample dispatch and encouraging comments do not replace technical sign-off. They are different milestones.
Assemble the references before sign-off
Section titled “Assemble the references before sign-off”With project and quality colleagues, I check:
- Sample identity and revision, including the parts required for acceptance.
- How its material and manufacturing route relate to production, and which differences have been disclosed.
- The references for appearance, dimensions, assembly and function.
- Any open deviations and their documented disposition or confirmation.
- Approval authority and the connection between the retained sample and approval record.
The scope can differ between projects. Agreeing it is more useful than applying a Golden Sample label too early.
Make the next request precise
Section titled “Make the next request precise”We have received your feedback on the appearance improvement. Please confirm whether this revision can serve as the acceptance reference for the stated scope, and identify any remaining tests or changes. We will retain the sample revision with the corresponding quality document.
If changes remain, I leave them in the schedule rather than report positive feedback as completed sign-off.
An approved sample should leave both sides with a usable basis for the next inspection.
