What to verify in an AI-generated meeting note
I use AI to help organise meeting and work records. It can make fragmented information readable, but a polished summary can also make a verbal estimate, transcription error or open question sound too certain.
I keep source notes for automated captions and transcripts. Important points still need checking against the original record or subsequent confirmation before becoming a basis for external communication.
Check the consequential sentences first
Section titled “Check the consequential sentences first”Statements such as approved, ready for delivery or agreed by the customer need corresponding evidence. Numbers need units and scope. Revision names need a product and state. Owners and dates need a distinction between a proposal in the meeting and an action actually accepted.
Copying a summary into a weekly report and a project page does not create independent evidence. Keep their connection to the same source visible.
Separate facts, interpretation and next actions
Section titled “Separate facts, interpretation and next actions”Facts should show what the source supports. My analysis belongs separately. Unconfirmed actions remain next steps rather than becoming completed results.
When current-week evidence is missing, the work may be unrecorded or unfinished. I retain an unconfirmed state and arrange a check rather than manufacture a completion from last week’s plan.
Review before external use
Section titled “Review before external use”Are numbers, units, revisions, approval states and commitment scope accurate? Does the text contain customer identity, commercial conditions or internal assessments? Would a customer update exceed the evidence or my authority?
A clearer instruction to AI would be:
Separate confirmed facts, interpretation and unconfirmed items. Keep gaps in numbers, units and approval states rather than filling them with outcomes. Mark the points that need manual checking.
AI can shorten the time spent organising records. People still need to check the basis for decisions.
