A follow-up email needs a decision point
In delivery communication, I have encountered repeated waits for allocation confirmation. A message that simply says “please confirm ASAP” may not explain the operation affected or how long the internal team can wait.
The purpose of a follow-up is to make a decision possible. Urgency needs an actionable request.
Narrow the confirmation request
Section titled “Narrow the confirmation request”I identify the required data revision, specific items or decision. When an attachment contains many items, I mark what needs a reply now.
I then check when the next team actually needs the input. Customer response timing, internal processing and external operating deadlines are separate. Unconfirmed milestones should not be presented as fixed facts.
Explain the impact and possible actions
Section titled “Explain the impact and possible actions”My message should answer four questions: what is missing, what it affects, what we have completed and how the recipient can respond.
If the customer cannot give a final answer, I ask for the confirmed part and the next update point. Sales should not choose an allocation and present it as customer approval.
A possible message is:
We need the marked allocation information in the attachment to confirm the next arrangements. Preparation has reached the relevant stage, and the final input affects the next operation. If you cannot confirm everything yet, please identify what is fixed and when the remaining information will be available. We can then check options with the responsible teams.
In actual use, replace the general stage reference with the verified operation and timing.
Carry the answer through to execution
Section titled “Carry the answer through to execution”The reply is not the final step. I check whether it is complete, entered into the working record and communicated to the team that was waiting for it.
A useful follow-up tells the recipient how to respond and the executing team what to do next.
